Privacy Policy

Friends of the Vineyard Library ("we," "us," "our") is a Utah nonprofit corporation and a recognized 501(c)(3) tax-exempt organization (EIN 99-2711317). This policy explains what information we collect through our website, how we use it, and the choices you have.

Information we collect

We collect only the information needed to operate this site and respond to you.

  • Contact form. When you submit our contact form, we collect the name, email address, and message you provide. We also log your IP address briefly for the sole purpose of preventing spam and abuse.
  • Donations. Donations are processed by Zeffy, our third-party donation platform. We do not collect or store your payment card information. Information you share with Zeffy is governed by Zeffy's privacy policy.
  • Analytics. We use privacy-respecting analytics (Cloudflare Web Analytics and PostHog) to understand which pages are visited. These tools do not use cross-site tracking cookies and do not sell or share your data.
  • Server logs. Our hosting provider (Cloudflare) logs basic request information (IP address, request path, timestamp, user agent) for security and reliability. These logs are retained for a short period and then discarded.

We do not knowingly collect information from children under 13.

How we use information

We use the information we collect to:

  • Respond to your message or inquiry.
  • Acknowledge and (where required by law) issue receipts for donations.
  • Operate, maintain, and improve the site.
  • Comply with legal obligations and protect against fraud or abuse.

How we share information

We do not sell your personal information. We share information only with:

  • Service providers that help us operate the site (Cloudflare for hosting and analytics, Supabase for our backend, Resend for transactional email, Zeffy for donations, PostHog for analytics, Sentry for error monitoring). These providers are contractually limited to using your information on our behalf.
  • Government and legal authorities when required by law (subpoena, court order, or other legal process).

How long we keep information

  • Contact-form messages are retained for as long as we may reasonably need to follow up on them, typically no more than two years.
  • Donation records are retained as long as required by IRS and Utah recordkeeping rules (typically seven years).
  • Server logs and abuse-prevention IP records are retained for a short period (typically 30 days or less) and then discarded.

Your choices

You may:

  • Request a copy of the personal information we hold about you.
  • Request correction or deletion of your information, subject to recordkeeping obligations under tax and nonprofit law.
  • Opt out of email by replying to any message you receive from us.

Cookies

We use a small number of cookies and similar technologies for site functionality (for example, keeping you signed in to the volunteer/admin area) and for analytics as described above. We do not use cookies for advertising. Most browsers let you block or delete cookies; doing so may affect site functionality.

Security

We use industry-standard safeguards (encryption in transit, access controls, audited mutations) to protect the information we hold. No system is perfectly secure; if we become aware of a breach affecting your information, we will notify you as required by law.

Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top reflects the most recent change. Material changes will be highlighted on this page.
